What the payroll page controls
The Payroll settings page is where you configure your payroll calendar, set employee hourly rates, and map labour codes to your accounting provider. These settings feed into timesheet calculations and payroll exports.
Payroll calendar
The payroll calendar defines your pay cycle.
- 1
Navigate to Settings > Labour > Payroll.
- 2
In the Payroll Calendar card, select your Calendar Type from the dropdown:
Type Description Weekly Paid every week Fortnightly Paid every two weeks Four Weekly Paid every four weeks Monthly Paid once a month - 3
Select the Period Start Day — the day of the week your pay period begins (Monday through Sunday).
- 4
Optionally enter a Xero Payroll Calendar ID if you are syncing payroll data to Xero.
- 5
Click Save Calendar.
Employee rates
The Employee Rates card lets you assign hourly rates to individual employees by labour code.
- 1
In the Employee Rates card, select an employee from the Employee dropdown. You can search by name.
- 2
The table below shows any rates already assigned to that employee, with their labour code and hourly rate (in GBP).
- 3
Click Add Rate to assign a new rate.
- 4
In the dialog, select a Labour Code (L0002–L0005) and enter the Hourly Rate.
- 5
Click Save to confirm.
To edit an existing rate, click the Edit button on its row. To remove a rate, click Delete.
If an employee works at different rates for different types of work, assign multiple labour codes with their respective hourly rates.
Payroll mappings
The Payroll Mappings card links your labour codes to external accounting provider IDs. This ensures timesheet data is posted to the correct accounts when exporting to Xero or Sage.
- 1
Click Add Mapping.
- 2
Select a Labour Code, choose the Provider (Xero or Sage), and enter the Provider ID — the corresponding pay item or earnings ID in your accounting system.
- 3
Click Add Mapping to save.
To remove a mapping, click Delete on its row.
