What client records are for
Client records store the companies you work for. When you create a project, you assign it a client — and the client's default MCD and retention percentages are carried across automatically. Keeping your client list accurate saves time on project setup and ensures your financial documents reference the correct details.
Viewing clients
Navigate to Settings > Data > Clients. The table shows all active clients with their name, VAT number, registration number, default MCD and retention percentages, payment terms, and address.
Use the Status filter to narrow the list, or type in the search box to find a specific client. To see archived clients, open the view options and tick Show Archived.
Creating a client
- 1
Click Create Client in the top-right corner of the page.
- 2
Fill in the client details:
Field Required Description Name Yes The client's company name VAT Number Yes VAT registration number Unique Tax Reference Yes HMRC unique tax reference Registration Number Yes Companies House registration number Default MCD % Yes Main contractor's discount percentage (0–6%) Default Retention % Yes Retention percentage (0–6%) Payment Terms (Days) No Default payment terms in days Address No Line 1, Line 2, Town/City, County, Postcode - 3
Click Create to save the new client.
MCD and retention percentages are capped at 6%. These defaults are applied when you assign this client to a project, but you can override them on individual projects.
Editing a client
Click into any editable cell in the table to update a client's details inline. Changes are saved automatically.
Importing clients from CSV
If you have a large number of clients to add, you can import them from a spreadsheet.
- 1
Click CSV Import in the top-right corner.
- 2
Download the import template if you do not already have one.
- 3
Fill in the template with your client data and upload it.
Archiving and restoring clients
To archive a client, click the Archive button on the relevant row. Archived clients are hidden from the default table view and from dropdowns when creating projects.
To restore an archived client, enable Show Archived in the view options, then click Unarchive on the row.
Archiving a client does not affect existing projects assigned to that client. It only removes the client from future selection lists.
