When to sign off a Work Package
Sign-off is how you record that a Work Package is finished — or ready for review — and capture a final snapshot of how the work turned out. The sign-off entry includes a condition rating, the actual hours taken, notes, and photos from site.
Reach for sign-off when:
- The trade has finished and you've walked the work to check it
- A handover to the client or the next trade is happening and you want a permanent record
- An inspection has passed and the work is ready to be locked in
- You want to compare the actual hours against the estimate so future templates are sharper
Signing off doesn't archive or hide the Work Package — it stays on the list and in reports. What changes is that a sign-off entry joins its history, visible from the sidebar.
When the Sign Off button appears
The Sign Off button only shows up on the Work Package detail sidebar when the status is one of:
CompleteReview
If the button isn't there, change the status first using the dropdown in the header. Once the status is Complete or Review, the button appears.
Filling in the sign-off form
Click Sign Off in the sidebar to open the form.

Write a Summary of what was completed. Keep it short — one or two sentences is plenty.

Pick a Condition rating that reflects how the work finished:
- Excellent — completed to a higher standard than required
- Good — completed as required
- Fair — completed but with some issues that should be noted
- Poor — completed but with problems that need following up

Enter Hours Actual — the total labour hours the work actually took. Comparing this against the estimated duration on the sub-packages helps you sharpen future templates and quotes.

Add any Notes that belong on the permanent record — handover details, snags, follow-up items.

Attach Images — photos from site showing the finished work. Project Commander accepts JPEG, PNG, GIF, and WebP files up to 10 MB each.

Click Sign Off to save. The entry is added to the sign-off history straight away.
The sign-off history
Every sign-off appears on the Sign Off History card in the Work Package sidebar, with the most recent at the top. Each entry shows:
- The date
- The person who signed it off
- The condition rating
- A preview of the notes
Click an entry to see the full details, including any images that were attached.
Sign-off history is permanent — entries are added on top of older ones, never overwriting them. If a Work Package gets re-opened and worked on again, you can sign it off a second time and the new entry sits alongside the original. The history is always a full record of every sign-off event.
Using sign-off as a handover record
The sign-off history doubles as a handover record, which makes it useful for client-facing handovers as well as internal audit. Generate a report from the Work Package that includes the sign-off history and attached images, and you've got a self-contained handover document.
For internal records, the history stays on the Work Package detail page and can be cross-referenced from the Activity tab where you'll see the broader audit trail too.
Real-world examples
- First fix complete and ready for QA — change the status to
Review, sign it off with a Good rating, and attach the photos the chargehand took before leaving site - Snags found at handover — sign it off with a Fair rating and write the snag list into the notes so the follow-up work has context
- Re-opening a Work Package — change the status off
Complete, do the extra work, then sign it off again. Both entries stay in the history.
