When to use the Activity tab
Open the Activity tab on an Action whenever you want to know who has done what and when. It's the place to look when:
- You've come back to a snag after a few days and want to catch up on what's changed
- A client asks who closed an Action and you need a clear answer
- Someone has reassigned an Action without telling you and you want to confirm
- You're chasing an audit trail for a defect or RFI
The Activity tab keeps a permanent timeline of every change, so you don't have to rely on memory or messages.
Opening the Activity tab
- 1
Open the Action you want to check.
- 2
Click the Activity tab in the sidebar on the right of the detail page.
- 3
The most recent entries appear at the top. Scroll down to see older ones.
What you'll see
Each entry shows three pieces of information:
- Who made the change (their name and avatar)
- What they did (e.g. "Status changed", "Comment added", "Attachment uploaded")
- When they did it (e.g. "2 hours ago")
Comments you and your team have left appear in the same feed alongside the automatic entries, so you have the full conversation and the change history in one place.
Loading older entries
The first 50 entries load automatically. If the Action has a longer history, a Show more button appears at the bottom of the list. Click it to load the next 50, and keep clicking to step further back.
This is intentional — older Actions can have hundreds of entries, and loading them all at once would slow the page down. Click-to-load keeps things snappy until you actually need the older history.
Live updates as your team works
Here's the part that makes Actions feel alive: you don't need to refresh the page to see what other people are doing. While you have an Action open, anything someone else changes appears on your screen automatically.
In practice, this means:
- A colleague adds a comment while you're reading the Action — the comment appears in your view within a second
- Someone closes an Action you're looking at — the status updates and the Close section appears without a refresh
- A teammate reassigns the Action to you — your name appears in the assignees list immediately
- An attachment is uploaded — it shows up in the Attachments card straight away
A small pulsing green dot in the Action header tells you the live connection is healthy. If the dot disappears, the connection has dropped — refresh the page once and it will come back.
Catching up after time away
If you've been off the system for a while, the Activity tab is your single best place to catch up on what's happened to an Action since you last looked.
A useful pattern:
- 1
Open the Action.
- 2
Click the Activity tab.
- 3
Scroll back until you see the date you last checked.
- 4
Read upwards through the entries to see what's changed in order.
You'll see status changes, new comments, new attachments, and any reassignments — everything in one timeline.
Watchers get notified automatically
You don't have to keep checking the Activity tab to stay across an Action. If you've added yourself as a watcher, you'll receive notifications when changes happen — driven by the same events the Activity tab records.
Next steps
- Comments — to add your own comments to the activity feed.
- Team and watchers — to subscribe to changes on Actions you care about.
- Status workflow and closing — for the status changes that show up in the activity log.
